TITLE: Fixed Assets/Inventory/Courier

 

CLASSIFICATION: Classified – Hourly

 

REPORTS TO: Executive Director of Business Services

 

SUMMARY:  The Fixed Assets/Inventory/Courier will provide an accurate and current inventory of fixed assets for the District and provide delivery services of official District mail and equipment to various locations/entities as necessary. 

 

PERFORMANCE RESPONSIBILITIES:

  1. Conduct inventory of fixed assets district-wide.

  2. Maintain accurate asset records with asset number, physical description, serial number, organizational data, location, cost and other financial data, purchase order number, and depreciation method. 

  3. Maintain a computer database, shared with financial and purchasing systems. 

  4. Maintain the fixed asset program by bar coding. 

  5. Reconcile current year capital acquisitions. 

  6. Maintain a filing system for leases, titles, vehicles and buildings. 

  7. Receive inventories and store supplies, books, materials, and equipment.  Compare received shipments against purchasing documents to detect errors or omissions and check for visible damages. 

  8. Input items received in computer inventory and forward shipping invoices and packaging slips to the Finance Specialist. 

  9. Maintain a computerized record of District’s fixed assets including location. 

  10. Tag equipment with District identification labels and inventory numbers. 

  11. Reconcile fixed-asset records. 

  12. Work with auditors to compile and review asset inventory and reconciliation. 

  13. Deliver and pick up warrants and vouchers to and from the District/Maricopa County as needed. 

  14. Deliver correspondence to Governing Board Members as needed. 

  15. Deliver and pick up inter-office mail district-wide and other items daily. 

  16. Assist with making bank runs/deposits.

  17. Responsible for maintaining delivery vehicle (replenishing oil, gas, water and checking tires) and for submitting requests for mechanical repairs. 

  18. Attend training for continued professional development.

  19. Perform other job-related duties as assigned. :

EDUCATION:

High school diploma or equivalency required.  Two years of college or Associate degree preferred. 

 

LICENSES OR CERTIFICATIONS:

Valid Arizona Class A, B, C or D Driver License; Motor Vehicle Division Driving Record in good standing for the last 39 months retroactive from date of hire with the District.

 

EXPERIENCE:

Two-year business office experience; previous warehouse experience is preferred. 

 

SKILLS/KNOWLEDGE/ABILITIES:

  • Knowledge in fixed asset procedures and accountability from acquisitions through transfers preferred. 

  • Knowledge of Infinite Visions General Fixed Assets system preferred.

  • Ability to use Microsoft Office applications and a PC for word processing, spreadsheets and database systems. 

  • Type 30 words per minute.

  • Ability to use standard office equipment including copy machine, printer, and fax.

  • Knowledge of English language required to read, interpret schedules, addresses and to communicate with co-workers.  Strong communication and interpersonal skills preferred. 

  • Ability to bend, carry and lift 50 pounds, push and pull 50 pounds and stand and walk for extended periods of time. 

  • Ability to work with a high degree of accuracy and attention to detail.

  • Knowledge of safety procedures and ability to maintain a safe working environment.

  • Demonstrated ability to use independent judgment to set priorities and make decisions.

  • Ability to use discretion in handling confidential information.

 

WORKING CONDITIONS:

The work environment is the normal office and warehouse setting.  Some of the work is performed in an office or school setting.  Some of the work requires driving to schools County and State education departments and businesses.

 

TERMS OF EMPLOYMENT:

Twelve-month year, At-Will, Hourly basis; benefits in accordance with Board policies.

 

EVALUATION:

Performance to be evaluated in accordance with Board policy on evaluation of Classified Staff.
