TITLE:  

School Administrative Assistant        

CLASSIFICATION

Classified - Hourly                 

REPORTS TO:         

Headmaster

SUMMARY:           

To perform complex secretarial duties requiring use of independent judgement and have 

                                 

Knowledge of district policies, procedures, programs and organizational structure under light

supervision or direction.

 

PERFORMANCE RESPONSIBILITIES

  1. Maintain positive and professional student, staff, parent and community relationships, answer phones, greet and assist visitors to the office as well as provide school details and take information for recruiting of new students.
  2. Call and receive calls from parents regarding student attendance and notify teachers and Health Aide/LPN
  3. Coordinating classroom operational needs, student rosters, class attendance and resolving day-to-day administrative and operational problems.
  4. Responsible for inputting and maintaining accurate data in the Synergy-Student Management Information System, State Reporting for MIT (Student Data Information and Integrity Monitoring), withdrawals and transcripts.
  5. Initiate contact to set up appointments, visits and provide information to surrounding schools to recruit new students.
  6. Complete and distribute registration and attendance reports to School Principal and district office.
  7. Schedule and coordinate meetings, appointments and travel arrangements for administrators.
  8. Assisting with all aspects of administrative management, site maintenance, building logistics, managing inventory of assets and supplies,
  9. Attend in-service training for continued professional development.
  10. Develop and update administrative systems to make them more efficient.
  11. Translate or interpret as Spanish skills allow.

 

EDUCATION

High school diploma or equivalency. Associate degree and professional secretarial training is preferred.   

 

EXPERIENCE

Three years related office experience within a school office or a position involving a substantial amount of public contact.  High school experience preferred but not required.

 

SKILLS/KNOWLEDGE/ABILITIES:

  • Excellent time management skills and the ability to prioritize work
  • Strong communication and interpersonal skills.
  • High level of English proficiency for completing tasks, telephone communication, and preparation of written correspondence including skills in spelling, punctuation, and grammar.
  • Bilingual, English and Spanish, skills are helpful but not necessary.
  • Type 50 words per minute.
  • Ability to use Microsoft Word and applications, Genesis SMS and Rack2-Filer.
  • Ability to use standard office equipment including copy machine, printer, and fax.
    Ability to work with detail and with a high degree of accuracy.
  • Demonstrated ability to use independent judgment to set priorities and make decisions.
  • Ability to use discretion in handling confidential information.

WORKING CONDITIONS:

The work environment is the normal office setting.

 

TERMS OF EMPLOYMENT:

Twelve-month, At-Will, Classified-Hourly; benefits in accordance with Board policies.

 

EVALUATION:

Performance to be evaluated in accordance with Board policy on evaluation of Classified Staff.
