TITLE: Payroll Specialist
CLASSIFICATION: Classified – Exempt
REPORTS TO: Executive Director of Business Services
SUMMARY: The Payroll Specialist will provide efficient and effective payroll services.
PERFORMANCE RESPONSIBILITIES:
- Prepare biweekly payroll documents, including appropriate deductions, for all District employees.
- Prepare periodic and other reports for governmental agencies and other uses as required.
- Remit payroll deduction payments to insurance companies, credit unions and other employee deductions.
- Answer technical questions regarding policy, practices and procedures involved with determining, collecting or recording data.
- Authorize the release of data and information reports to be used outside the Department and/or District.
- Provide employee training on policy, procedures and functions within the department.
- Audit and check the work of others for accuracy and compliance with policy, procedures and functions.
- Prepare reports that require data and information to be analyzed by developing a plan and timetable for gathering necessary resources and recommending assignments for the completion of the report.
- Establish and maintain payroll records.
- Process time sheets for each pay period.
- Reconcile data input.
- Sorting, reconciling and distributing of paychecks.
- Provide employees with information regarding paychecks and assist in resolving discrepancies in employees’ paychecks.
- Identify and recommend improvements in procedures and efficiencies in how data and information is gathered, assembled, filed and distributed.
- Complete required reports including tax reports, unemployment and worker’s compensation.
- Prepare quarterly and other special payroll project reports.
- Purge files and records for storage purposes.
- Attend in-service training for continued professional development.
- Perform any and all job related duties assigned by the Executive Director of Business Services.
EDUCATION:
- A Bachelor’s Degree in business or accounting is required or three years of payroll experience working in public schools.
LICENSES OR CERTIFICATIONS:
A valid Fingerprint Clearance Card
EXPERIENCE:
- A minimum of three years in business, accounting, or payroll experience working in public schools.
SKILLS/KNOWLEDGE/ABILITIES:
- Demonstrated specialized knowledge and ability to work with highly complex situations and procedures.
- A high level of English proficiency is required.
- Ability to use 10-key calculator with a high degree of accuracy and to use a computer for word processing, spreadsheets, and database systems.
- Ability to work with a high degree of accuracy and attention to detail.
- Ability to use independent judgment in setting priorities and making decisions.
- Able to use discretion in handling confidential information.
- Strong oral and written communication skills are required.
- Ability to communicate State and District payroll practices.
WORKING CONDITIONS:
- The working environment is the normal office setting.
TERMS OF EMPLOYMENT:
- Twelve-month year, At-Will, Classified-Exempt; benefits in accordance with Board policies.
EVALUATION:
- Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
