TITLE: SIS Coordinator/Help Desk/Technology Secretary

CLASSIFICATION: Classified – Hourly

REPORTS TO: Director of Technology

SUMMARY: Manages all student information from Student Management System (SMS) to ADE tracking all student related data used for state and federal funding.  Develops, maintains, and monitors detailed student reports for development of the District budget in order to ensure sound financial and accounting functions as detailed in USFR and mandated by district needs. Provides assistance to resolve technical problems with district computers and networks.  Performs general clerical and bookkeeping duties. 

 

PERFORMANCE RESPONSIBILITIES:

  1. SAIS & Student Management System (SMS)
  2. Ensure accuracy of data for reporting purposes.
  3. Submit data to ADE for state and federal funding.
  4. Create validation, integrity and response reports as needed.
  5. Generate comparison reports between SMS and ADE data.
  6. Work as SMS liaison between schools, district office and ADE.
  7. Provide technical support to school staff as needed.
  8. Resolve all state reporting issues with district sites.
  9. Monitor and ensure that student membership attendance and categorizations are accomplished in a timely manner and within state deadlines.
  10. Direct the establishment, maintenance and support of the district’s student information and ensure that membership and attendance data is entered promptly and according to state requirements.
  11. Supervise, direct and evaluate the work submitted by Registrars in the SMS.
  12. Coordinate and utilize the software and the ADE SAIS reporting system to maintain accurate and timely Average Daily Membership (ADM) and school-by-school Average Daily Attendance (ADA).
  13. Relate to the budget development requirements for Group A and B numbers, English Language Learners (ELL), and food service categorization counts (free and/or reduced).
  14. Communicate and coordinate the exchange of data with departments including Special Needs and Teaching and Learning.
  15. Communicate with school administrators regarding student information data.
  16. Collect, validate, submit to include ADE recommended submissions, i.e., AIMS-A, ELL, SPED, NCLB, Gifted, Homeless) and verify student information for the ADE SAIS on a quarterly basis.
  17. Assist with training and monitoring school and district staff in using SMS and SAIS system.
  18. Produce management reports from data files and customize report programming, i.e., ADA and ADM.
  19. Verification of AIMS, AIMS-A, AZELLA. Participate in the enrollment of students and acquisition of SAIS numbers. 
  20. Provide training on school attendance and clerical duties for school front office personnel as needed.
  21. Provide assistance to Registrars and other staff and/or departments regarding student information.
  22. Use the district’s SMS and the ADE SAIS reporting system to produce accurate, timely ADM and school-by-school ADA.
  23. Answer technical questions regarding student membership.

  2. Answer telephones, route callers and take messages for the technology department.
  3. Respond to technical questions from users and specific questions regarding service.
  4. Generate service requests and route to service technicians.
  5. Send notification of service interruptions to technology staff.
  6. Oversee the technology “help desk” process.
  7. Provide professional development as needed.

 

  1. Bookkeeping/Secretarial/Clerical Support
  2. Provide general clerical and typing services including word processing from rough or final drafts, prepare and process department correspondence, gather and compile data, prepare reports and special projects, prepare requisitions and answer telephones.
  3. Open, sort, and distribute mail to department offices, attach materials, and review related items of importance with department administrator.
  4. Make arrangements for coordinating meetings, conferences and special events.
  5. Establish and maintain filing and follow-up systems. Secure confidential information and follow established procedures and timetables for maintaining and purging records.
  6. Answer general inquiries and interpret reports and documents.
  7. Establish and maintain appointment and meeting calendar for the Director of Technology.
  8. Research and prepare documents and accounting for E-Rate grant applications.
  9. Manage accounts, equipment and tracking for district-issued technology equipment.
  10. Access requested data and information by using database systems, spreadsheets and other management information reports.
  11. Attend trainings as needed for professional development.
  12. Perform any and all job related duties assigned by supervisor.

EDUCATION:

  • High school diploma or equivalent required; Associates Degree preferred.

 

LICENSES OR CERTIFICATIONS:

  • A valid Fingerprint Clearance Card

EXPERIENCE:

  • Three-years of related office experience with demonstrated ability for office practices, procedures and duties relevant to student information/data and SMS’s.

SKILLS/KNOWLEDGE/ABILITIES:

  • Proficient in student information systems; experience working with Synergy is preferred.
  • Ability to work with a high degree of accuracy when reporting student information to the Department of Education SAIS reporting system.
  • Ability to use independent judgment in setting priorities and making decisions in absence of specific direction.
  • Ability to type 40 wpm; demonstrate high degree of proficiency and accuracy with 10-key calculator.
  • Ability to use standard office equipment including copy machine, printer and fax.
  • Ability to use discretion in handling confidential information.
  • Strong communication and interpersonal skills for working with the general public and co­workers.
  • High level of English proficiency for completing tasks and frequent telephone communication.
  • Bilingual, English and Spanish skills are helpful but not required.

WORKING CONDITIONS:

  • The working environment is the normal office setting.

TERMS OF EMPLOYMENT:

  • Twelve-month year, At-Will, hourly; benefits in accordance with Board policies.

EVALUATION:

  • Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
